The Office Coordinator will assist in all areas of the in-office experience. This person will work in tandem with our
Lead Office Coordinator and will be the first impression of the company for external visitors through answering all
incoming phone calls and managing our external meeting experience. They will also be responsible for managing a
variety of in-office benefits and assisting the rest of the Administrative team in improving employee efficiency and
morale. A successful candidate will be capable of managing projects independently, have strong verbal and written
communication skills, and maintain a professional manner in a variety of situations.
Responsibilities
• Welcome visitors, offer beverages/snacks, take coat/luggage, direct to appropriate conference room,
notify staff of guest arrival
• Handling all office operations including kitchen and supplies ordering, phone reception and coverage,
and coordinating all incoming/outgoing shipping and mailings
• Assist with the management of vendor relationships
• Ensuring the office common areas are neat and tidy, including running and emptying the
dishwashers, ensuring the fridges are well stocked and are cleaned out when needed, cleaning the
microwave oven, and keeping the supply area organized. Maintain kitchen/office appliances and
ensure they are clean, working and up to date
• Ensuring the meeting rooms are "client ready" (e.g. remove drinking glasses and tidy up the rooms,
sanitize as needed)
• Assist with the semi-annual filter replacements on Molekule units throughout the offices
• Manage the schedules for the conference rooms
• Act as the lead contact for weekly office lunches – order, set up and clean up
• Provide light administrative support for the sourcing team (primarily expense entry into Workday)
• Collaborate on company events including one-off experiences and annual events
• Support miscellaneous projects requested by lead Office Coordinator and Director of Administration
Ideal Experience and Competencies
• Transferrable experience (ideally 2+ years) in a similar role
• Demonstrates customer service experience, extremely personable, outgoing and courteous,
professional demeanor and appearance at all times; punctuality is a must
• Ability to multi-task and juggle a lot of different requests from various stakeholders
• Very organized and detail oriented
• Excellent communication skills
• Highly proficient in Microsoft Office Suite and an ability to learn additional project management and
collaboration tools
• Incredibly proactive; able to anticipate and resolve issues
• Proven management skills with the ability to handle multiple tasks and remain cool under pressure
• A great attitude and team-first mentality
